Member Terms and Conditions 

As a YMCA member, I understand and agree:

  • A YMCA membership is not transferable, and I will not loan my membership card to another individual.
  • I will notify the YMCA of any change in my mailing address or other contact information.
  • Cancellation policy: A membership can be cancelled at any time, and must be requested via email to [email protected], or in person to the YMCA of Oakville at least two (2) weeks before next payment date. Please note we are unable to accept cancellation by phone. Cancellations will not be back-dated. No refund shall be issued on monthly payments. The membership card must be returned to the YMCA upon membership cancellation.
  • The onus is on the account holder to ensure the monthly deductions have been discontinued.
  • Holds may be placed on memberships for continuous families or individuals 16 years and over who will be temporarily absent from the YMCA for a period of two (2) months by coming in person to the YMCA to initiate. We are unable to accept holds by phone. Please note that published rates at time of re-activation will apply.
  • The YMCA is unable to accept responsibility for lost or stolen items on YMCA premises.
  • The YMCA reserves the right to terminate membership privileges, without refund, for an account overdue more than 60 days, or for failure to comply with terms and conditions including the Etiquette Statement (below).
  • I may revoke my authorization at any time, subject to providing notice of 15 days. To obtain a sample cancellation form, or for more information on my right to cancel a PAD Agreement, I may contact my financial institution, or visit www.cdnpay.ca
  • I have certain recourse rights, if any debit does not comply with this agreement. For example, I have the right to receive reimbursement for any debit that is not authorized or is not consistent with this PAD Agreement. YMCA of Oakville Peter Gilgan Centre Etiquette

Our Mission Vision and Values guide our approach to ensure a positive shared experience. When we come together we all must demonstrate respect and mutual consideration for the enjoyment and safety of all.

Please note the following:

  • Children aged 10-13 must be supervised at all times by an adult (age 16+) within arms’ reach on the Wellness Floor and must have completed the Teen Conditioning Course.
  • Children under the age of 10 must be supervised in all areas by an adult (age 16+) at all times unless signed into a YMCA supervised program.
  • Use of a camera is not permitted inside the YMCA.
  • A membership card is required for proof of your membership. It will be required to enter the YMCA and to access the Wellness Floor (day pass users must be wearing a wristband).
  • Personal items should be locked up in a locker. Bags, outerwear, knapsacks, extra footwear are not permitted in programs areas. Unfortunately, theft can be a risk. The YMCA is not responsible for lost or stolen items.
  • Please replace equipment after use- this applies to weights, bars, balls, bikes etc. and use equipment in designated areas. Bouncing balls are dangerous on the running track.
  • For everyone’s health and safety please clean and disinfect equipment after use with the disposable wipes provided.
  • We expect members to share equipment including between sets on exercise equipment – staff can help you learn how to “ work- in” to maximize equipment sharing at busy times.
  • Please don’t use your cell phone while participating in a class or while on a piece of equipment. Step away from the activity or exercise equipment to text or chat so others waiting can make use of equipment.

At the YMCA we will not tolerate:

  • Foul language
  • Yelling
  • Violence of any kind
  • Invasion of personal space
  • Threatening gestures or language

Despite our best efforts, sometimes conflicts care arise. Should that happen, our staff will:

  • Listen to concerns and take them seriously.
  • Suspend judgement, as we seek to understand all sides of an issue.
  • Relay concerns and expectations to all parties concerned.
  • Communicate our intentions clearly and follow through with integrity.

Our commitment to each other

The YMCA is a shared experience for everyone to enjoy. Each of us can make it better for all by being considerate to others. YMCA members, staff and volunteers pledge to treat one another with respect and dignity. The YMCA reserves the right to suspend or cancel a membership in its sole discretion for inappropriate behaviour or failure to comply with the Etiquette Statement also outlined on the back of a YMCA membership card.

Your safety is important to us

The YMCA is your partner in achieving an enhanced quality of life though a healthier body, mind and spirit. Our YMCA commitment to proper maintenance and upkeep of our buildings and equipment is an important part of ensuring a safe environment for all to enjoy. This may result in temporary interruptions in service or access to specific areas or equipment within the facility, such as the pool. Membership fee adjustment(s) shall not apply due to maintenance, repair or refurbishment by the YMCA. In the event a primary facility is temporarily unavailable, members have the option of using any other YMCA Health Fitness and Recreation facility operated by the YMCA of Oakville.

Limitation of Liability

While YMCA staff and instructors make every reasonable effort to minimize exposure to known risks, the YMCA recommends that you consult with your physician before participating in any YMCA program, and/or using any YMCA fitness equipment or facilities. Neither the YMCA nor its staff, instructors or volunteers are licensed medical care providers and have no expertise in determining the effect of any specific program such as an exercise program, or equipment on a medical condition. You understand and agree that in registering for a YMCA program and/or using any YMCA fitness equipment or facilities, you may be involved in physical activity and that with any physical activity there is a risk of injury. By participating in YMCA programs and/or using any YMCA fitness equipment or facilities, you agree that you are participating voluntarily and do so at your own risk and you agree to fully release the YMCA and its officers, directors, agents, staff, instructors and volunteers from all claims or lawsuits for any injuries, death, property damage or theft, losses, or any other liability of any kind, arising directly or indirectly out of your participation in YMCA programs and/or use of any YMCA fitness equipment or facilities.

YMCA commitment to privacy

The YMCA of Oakville is committed to protecting personal information by following responsible information handling practices. We collect and use personal data in order to better meet your service needs, to ensure a safe environment while members are visiting our centres, for statistical purposes to inform you about the YMCA program in which you are registered, to complete payment transactions and to satisfy regulatory obligations. You may also hear from us periodically about other YMCA programs, services and opportunities that may interest and benefit you. Cancellation Policy

Hold Policy

  • Members can put their memberships on hold once per membership year, for a maximum of two (2) consecutive months
  • Payments will automatically resume after the hold period unless otherwise notified
  • Membership card(s) must be returned with the completed hold form to Membership Services
  • We are unable to accept holds by phone
  • Published rates at time of re-activation will apply

Renewal Policy

Unless we are otherwise notified by you, your membership and monthly charitable gift will be automatically renewed and the monthly payment adjusted to reflect the current membership fee.

Returned Payments

A $20 NSF charge will be applied to all returned payments. Following two (2) returned payments, your membership will be cancelled.

Closures

To maintain our facilities in a clean and well-maintained condition, temporary, maintenance-related pool and program closures may occur during the year without reimbursement.

Your Membership Card

Membership cards must be presented each time you enter the YMCA and scanned at the Membership Service Desk.  You are the only one who can use your YMCA membership card and cards are non-transferable.  If someone else tries to use your card, with our without your knowledge, your membership will be cancelled.
